Filter, sort and save views

Narrow the rows you see with filters, order them with sorts, show or hide columns, and keep each setup as a view.

Filters, sorts and hidden columns change what you see in a table. They do not delete anything.

How do I filter rows?

  1. In the toolbar, click Filter. A popover opens. If nothing is set it says "No filters applied."

  2. Click Add filter.

  3. Pick the field, an operator and a value. The field menu lists your columns and also Created At and Updated At. After the first row, each new row starts with and. Click it to switch to or.

  4. The row counter and the Filter button update. With one filter set, the button's tooltip reads "Filter · 1 active" and the counter shows how many rows match, for example 2 of 3.

The operators depend on the type of the column you pick.

  • Text column, 8 operators: contains, contains any of, does not contain, does not contain any of, is, is not, is empty and is not empty. The menu starts on contains.

  • Number column, 9 operators: is, is not, is less than, is less than or equal to, is greater than, is greater than or equal to, is between, is empty and is not empty.

  • Date column, 10 operators: is, is not, is before, is after, is on or before, is on or after, is between, is relative to today, is empty and is not empty. The value is a date picker ("Pick a date"). The Created At column offered the same 10.

Only these three column types were checked. This article does not list the operators for other column types.

Add filter group groups several conditions. Reset filters clears all of them.

How do I sort?

  1. Click Sort. If nothing is set it says "No sorting applied."

  2. Click Add sort and pick a column. A row shows the column and the direction, for example A → Z.

  3. Click Reset sorting to clear it.

The toolbar of a table with the Sort by popover open under it. The popover has a Company Name row set to A to Z, a delete icon, and the buttons Add sort and Reset sorting. The A to Z direction menu is outlined in red. The table rows on the left are in A to Z order: Canva, Figma, Monzo, Spotify, Stripe.

How do I show or hide columns?

Click the Columns button. It shows how many are visible, for example "4 of 6 shown". The popover has Show All, Hide All and a tick box for each column. Created At and Updated At are listed too and start hidden.

The table toolbar with the Columns popover open. The Columns button, outlined in red, reads 4/6 columns. The popover has a search box, Show All and Hide All buttons, and a list of columns: Company Name, Company Domain, Country and Normalize Domain are ticked, and Created At and Updated At are not.

What are views?

The View button shows the current view, Main at first. Its tooltip says "Switch view — filters, sorting and hidden columns are saved per view." The menu has:

  • Main, with a tick while it is the current view. Any extra views of your own are listed after it.

  • A PRESETS heading with Errored rows and Fully enriched rows under it. Main is not one of the presets.

  • New view

A table toolbar with the View menu open. The View button, showing Main, is outlined in red. The menu lists Main with a tick, a PRESETS heading with Errored rows and Fully enriched rows, and New view.

Choosing a view adds ?view= and an id to the page address. If nothing matches a preset, the grid says "No rows match the current filters" and lists the active filters, with a Clear filters button.

How do I search every cell?

Click the magnifier in the toolbar, Search all cells. The shortcut shown is ⌘ + F.

The table toolbar with an open, empty search box that reads Search all cells and has a Search button at its right. The search box is outlined in red. Below the toolbar are the column headers and the first row of the table.

Good to know

  • Changes to filters save automatically; the header shows "Saving" and then "Saved".

  • Adding a filter changes the badge on the view to Edited. Reset filters changes it back to Saved.

  • A filter only hides rows from the view. The rows are still in the table.

  • The Run column dialog counts only the rows that pass an active filter. In our tests, a filter that showed 2 of 5 rows made the dialog offer "Run all 2 empty rows" and "Overwrite all 2 rows". See Run columns safely: Auto-run, test one row, then run the rest.
